Everything I have to approve now waits in exactly one place
For a while, approving my own work meant checking two different screens, because two different systems each had their own idea of where a decision belonged. One held blog posts and a newsletter. Another held a different kind of write-up entirely. I only actually opened one of them on a regular basis, so anything waiting in the other one just sat there, approved by nobody, for over a week before I noticed.
The fix was not a reminder to check the second screen. It was deleting the idea that there should be a second screen. Now there is one. It reads directly from the same place every draft already lives, whatever produced it, and every decision I make there writes straight back to that same place. Nothing routes through an inbox in between that can quietly stop listening.
Here is the part worth copying even if you run nothing that looks like a blog. Anything in your business that ends with someone waiting on your yes, a quote, a social caption, an email to a customer, a schedule change, should show up in the one place you already check, not in whatever tool happened to produce it. The moment you have two places to check, you will eventually only check one, and the other becomes invisible without anyone deciding that on purpose.
Build the single queue before you build the next automation that will feed something into it. Adding a new source to a screen you already open every day is a small change. Talking yourself back into opening a second screen you already stopped trusting is not a technical problem, and no amount of automation fixes it after the fact.
